SSA Updates ERE to Allow Easier Evidence Upload

For several years, Appointed Representative Services (ARS) has provided the ability for appointed representatives to upload documents directly to their client’s electronic folders (eFolders) for cases pending at the Hearings and Appeals levels. In order to use this functionality, the representative needed the Request ID (RQID) found on the barcodes generated by the hearing offices.

 

As of December 10, 2016, appointed representatives enrolled with ARS have the capability to upload documents to their client’s electronic folders (eFolders) without a barcode. Representatives uploading directly to a client’s eFolder no longer need an RQID, and do not need to enter any information regarding the claimant or the destination.

 

There are many benefits to using ARS to upload documents, including the following:

-          Claimant and destination is populated automatically by the system, reducing the amount of time representatives spend uploading files

-          Representatives simply attach their file, select the document type from a dropdown menu, and enter any document-specific information requested by the system (e.g. source, treatment dates)

-          Documents are automatically routed to the correct section in the eFolder and labeled with the document-specific information

 

Step-by-step instructions with screen shots and a list of the document types that can be uploaded via ARS can be found in the attached user guide. We strongly encourage representatives to provide claimant documents to the Office of Disability Adjudication and Review (ODAR) using this method. It will save representatives time, reduce the wait time for documents to appear in the eFolder, ensure the documents are added to the correct section of the eFolder, and reduce hearing office staff time generating barcodes and labeling individual documents.

 

As a reminder, only electronic cases pending or recently closed at the Hearings or Appeals Council levels can be accessed electronically via ARS. Cases pending at the initial and reconsideration levels, including informal remands, are not available via ARS. Cases pending with the Federal Courts are also not available via ARS.
